System Requirements 

Q. What is the minimum system requirements for running InTouch?

A. You will need a system running Windows XP or the Window Vista operating system. The system should be confifgured with at least 512MB of RAM and a 1.0Ghz processor. System should be attached to a network and have access to the Internet for installation and auto-updates of the InTouch software. An audio card and speakers are required for sound.

 

Connection Issues 

Q. Why can't I connect to my Host?

A. Your computer and the Host computer may have different versions of InTouch loaded or the Host may be off-line.


Q. Do I need to configure my windows firewall for InTouch?

A. When running Intouch for the first time, Window's firewall may ask you if you want to block or unblock (allow) the connection. You should answer to unblock.

If you have a different firewall solution you may need to configure your firewall manually. Ask your network administrator to unblock the following ports on your computer.

 

MISCELLANEOUS ISSUES 

Q. Can I operate InTouch from the Systems Tray?

A. Yes, the InTouch Icon will display in the Systems Tray area. From the Systems Tray you can right click on the InTouch icon to open up a menu of functions.


Q. What does the little computer monitor icon in the upper-right corner of my location button mean?

A. The system displays a computer monitor icon in the upper-right corner of the location button indicating that the station has been configured to monitor and receive location-specific text messages sent to your station.


Q. What does the little yellow sun in the lower-left corner of my location button mean?

A. The system displays a yellow sun icon in the lower-left corner of the location button as an indication to every station connected to the Host that someone has configured their computer to monitor and receive text messages meant for the indicated location.


Q. What does the little speaker with the Red “X” icon in the upper-right corner of my location button mean?

A. The system displays a speaker icon with a Red “X” in the upper-right corner of the location button on your station indicating that the station has been configured not to play the audio tones associated with the corresponding station.


Q. My desktop icons have moved since I installed InTouch.

A. This is a standard Microsoft feature. Microsoft recomputes the desktop and any icon position anytime the taskbar is resized or if additional software programs are docked to any of the four sides of the desktop. Once the desktop has been recomputed, the system stores the new desktop icon positions in preparation for the next time the taskbar is resized or the additional docked software is expanded. This time-saving feature is also used if the user Auto-hides their taskbar. In this situation, the user wishes to hide their taskbar when not in use. If the user needs the taskbar they simply move the mouse cursor to the bottom of the screen and the taskbar pops up from the bottom of the screen. If this “recompute” feature did not exist, the system would have to recompute the desktop each time that the user needed the taskbar resulting in a much slower response time and slowing the user down.


Q. How do I close InTouch?

A. To close InTouch, click the red Exit button in the upper-right corner of the screen. You may also close InTouch by right-clicking on any unused area of the InTouch screen and selecting Exit.


Q. How can I determine which version of InTouch is loaded on my computer?

A. Right-click in any unused section of InTouch, click About…, the second line of the About Screen displays the version number of the InTouch software loaded on your computer.


Q. How do I know if I have a different version of InTouch than my Host?

A. When Joining a Session, you will see a listing of Host Computers, their IP Address and their version number; if you are on different versions, you will see an asterisk next to their version number. Additionally, you will see *Incompatible Version displayed in the lower-left corner of the window and the Connect button will be grayed out when you select an incompatible host.


Q. Why are the colors of the staff member buttons different on one of my client computers than the buttons on the host computer and all of the other client computers?

A. It sounds like the client computer in question is using a lower "Color Quality." Within the client computer's display, adjust your color quality to its highest level. To do this you will need to open Control Panel, select Display and click on the Settings tab. On the lower right will be Color Quality. Change this to "Highest."

 

TEXT MESSAGING 

Q. How do I send a text message to every station?

A. To send a text message to every station, right-click on any location button and select, Send text to ALL stations, enter your text message and click the OK button.


Q. How do I send a text message to a specific station?

A. To send a text message to a specific station, right-click on the applicable location button and select, Send text to these stations, enter your text message and click the OK button. An alternate method of selecting a specific location to send a text message to is to select the specific location from the drop-down menu on the InTouch Messaging window.


Q. How do I know when a new text message has arrived?

A. The text message box will automatically appear when a new text message arrives. The InTouch icon in the Systems Tray will flash indicating that a new text message has arrived.


Q. Can I continue typing in my other applications when the text message screen pops up with a new message?

A. Yes, InTouch allows the user to continue typing in their current application when the text message screen pops-up.


Q. Are text messages stamped with From, To, and Time?

A. Yes, this information is stamped on each text message.


Q. Can a station monitor or delete text messages that are sent to another station?

A. Yes, you can setup any station to monitor other stations messages. This is beneficial when you have a roving staff member.


Q. How do I configure my station to receive text messages meant only for my room/office/location?

A. To configure your station to receive text message meant only for your room/office/location, right-click your location button and select Include this as one of my stations. When the include this as one of my stations option is selected, the system will display a computer monitor icon in the upper-right corner of the location button indicating that the station has been configured to monitor and receive location-specific text messages sent to your station. Additionally, the system will display a yellow sun icon in the lower-left corner of the location button as an indication to every station connected to the Host that someone has configured their computer to monitor and receive text messages meant for the indicated location.

 

PAGING 

Q. How do I page another staff member to my room/desk/operatory/office?

A. To page a staff member to your location, select the individual’s button and then select your location button.


Q. How do I page another staff member to a specific room/desk/operatory/office?

A. To page a staff member to a specific location, select the individual’s button and then select the applicable location button.


Q. How do I page multiple staff members to a specific room/desk/operatory/office?

A. To page multiple staff members to a specific location, select the individual’s button one at a time and when all of the required staff members have been selected, click on the applicable location button.


Q. One of the individual staff member’s button is flashing, why?

A. Selecting an individual’s button when paging causes the individual button to flash until a location is selected, this is a built-in visual indicator of the individual(s) selected to be paged. The individual button will continue to flash until a location button is selected or the individual button is deselected. To deselect an individual button, click the applicable button.


Q. How do I page an individual to perform a specific task in a specific location?

A. To page a staff member to perform a specific task in a specific location, click the individual’s button, click the button representing the task to be performed, and then click on the applicable location button.


Q. Can I page an individual to perform multiple tasks?

A. Yes, to page a staff member to perform multiple tasks requires the user to send two independent pages.


Q. How do I acknowledge or clear a page sent to me?

A. To clear a page, click the location button of the page. If the Office Manager is paged to the Front Desk, the Office Manager, upon seeing the page, would click the Front Desk button.


Q. I received a page but I cannot leave my office/desk/room/laboratory/operatory for about five or 10 minutes, how do I let the person paging know this?

A. To indicate that you cannot respond to the page immediately, clear the original page by clicking on the location button that you are being paged to; then, click your own individual button, click the Five Minute or 10 Minute Action button as applicable and click the location button that you are being paged to. The person paging you would then clear the page you sent to indicate that they have received your page.


Q. What if I am away from my office/desk/room/laboratory/operatory or the room is noisy and I miss a page meant for me?

A. Your InTouch Intra-Office Paging System is designed to Alert you of any active pages on a three-minute basis. If you are unable to hear or acknowledge a page, the system displays a graphical three-minute timer in the lower-right corner of the applicable location button. If the page is not cleared within three minutes, the system displays the audio alert and the location button indicating the paged staff member’s individual color and either their icon or the applicable action icon as applicable.

 

AUDIO 

Q. Can I add sounds to a button?

A. Only the host can add sounds to buttons. There are default sound options to choose from that are system wide. To add a sound to a particular button, right-click on the applicable button and select Edit Button. The Notification Button appears. Under Audio, use the drop down menu to choose the desired audio clip you wish to hear for the applicable button.


Q. Can a particular sound play on the receiving station based on who it is from?

A. Yes, the receiving station can play a sound based on who the message is from and/or who the message is to.


Q. Can I preview/hear a sound file before selecting it?

A. Yes, you can preview or hear the sound before implementing it. To preview a sound, right click on the applicable button and select Edit Button. The Notification Button appears. Under Audio, use the drop down menu to pick from the list of sound clips. Next, select the icon to the right to preview the sound clip.


Q. Can I mute audio paging sounds for specific staff members?

A. Yes, to mute the audio paging sound for any specific staff member, right-click on the staff member’s button and select Ignore notifications from this individual.


Q. Can I mute all of the audio paging sounds?

A. To mute the audio paging sound, right-click in any non-used area of your InTouch screen and select Mute All.


Q. I work at the front desk and rarely get paged to the laboratory, our lab is very busy and there are numerous pages to and from the lab all day. Is there a way to turn off the sound to just the lab pages?

A. To Mute the sound for pages sent concerning another station, right-click on the applicable location button and select, Mute this station; you will continue to see the visual alerts but the sound will be muted.

 

EDITING 

Q. How do I add buttons?

A. Only the Host may add buttons. To add a new button for a Staff Member, right-click on any existing staff member button and select Add button. Enter the new staff member’s name, select a personal image from the Image drop-down menu, select staff member’s identifying color from the Custom Color menu, and their indentifying audio tone from the Audio menu. To add a new button representing an Action, right-click on any exiting action button and select Add Button. Enter the new action’s name and select an appropriate image from the Image drop-down menu. To add a new button representing a Location, right-click on any exiting location button and select Add Button and enter the new location’s name.


Q. How do I edit buttons?

A. Only the Host may edit buttons. To edit a button, right-click on the applicable button and select Edit button. Make the necessary changes and click the OK button.


Q. A staff member recently left our office, how do I remove their button?

A. Only the Host may remove buttons. To permanently remove an individual, action or location button, right-click on the applicable button and select Remove button.

 

INTOUCH INSTALLATION 

Q. What software will InTouch run on?

A. InTouch will run on Windows XP and Vista.


Q. What are the hardware requirements for InTouch?

A. For InTouch to work to its full potential the user must have a sound card installed onto their computer.

 

INTOUCH APPLICATION 

Q. Can InTouch emulate my current analog wall mounted light system?

A. InTouch was created as an alternative to the analog wall mounted light system.


Q. Can InTouch co-exist with our existing practice management software?

A. Yes, InTouch can integrate or co-exist with any application.

 

PURCHASE OF INTOUCH 

Q. Is InTouch sold based on the number of workstations I have?

A. InTouch is sold based on the number of workstations that will be using InTouch.


Q. Can I tryout or see InTouch in action before I purchase it?
